General Data Protection Regulation Policy (GDPR)

1. Introduction

1.1 What data does  Earthscape Horticultural collect? When you contact me I will ask for the following information: Full Name, Address, Telephone Number and Email Address (if you wish to supply this)

1.2 How do I collect this data? Name, Address and Telephone number is supplied to me by you when I book an appointment. This will either be verbally over the phone, by email or by facebook messenger if you contact me by this method.

1.3 Why do I collect this data? I require your Full Name & Address so that I may visit for quotation purposes and to carry out the work if you wish to proceed.  I require your telephone number in order that I may contact you during the quotation or work processes.  Your email address is only required if you are happy for me to send your quotation by this method or are happy for me to communicate with you by this method during the work process.

1.4 Do I share this data? Your data is not shared with or sold to any outside individuals. We only share your Full Name & Delivery Address with the delivery company we use which is Royal Mail for postal purposes, delivery companies for the purposes of materials being delivered and skip companies for the purpose of skip delivery if required.

2. Using Your Data for Marketing Purposes

2.1 Currently I do not have any online subscription services so your data will not be used for marketing purposes. I do have Facebook, Instagram and website pages which, if you agree, I share pictures of past projects to.  I do not share personal details such as names and addresses to these pages and sites.

3. How do I keep your data secure?

3.1 Data stored digitally Your information is stored on my computer via the I Cloud which  a secure server (HTTPS/SSL). Your information may also be included in Facebook messages if this is how you have enquired about an order/item. Facebook is also a GDPR compliant service and the messaging platform is designed to be secure. My Facebook account is password protected and I have security in place to notify of any unusual login attempts so I will be aware as soon as possible of any issues.

Devices in our possession that have access to our Facebook and I Cloud are as follows;

PC – password protected

Iphone – password protected

Ipad – password protected

I employ security measures on all of our devices to ensure data is stored securely.

3.2 Data stored as a hard copy I only print your information in the form of the quotation letter which is posted to you and any information I require to carry out your project.  This is shredded once I have finished with the information.  I retain your personal information only for as long as necessary to provide you with my services. I am required to retain some information for legal purposes such as tax and audits. I only keep this data for the recommended legal time which is 7 years. It is then securely destroyed.

4. Requesting a Copy of the Data we hold

4.1 The process You can request a copy of all the data I currently hold on file for you. I am legally required to provide this to you free of charge and within a month of the original request.

5. Requesting we delete all data we hold

5.1 The process If you want me to delete all information I have on file I am legally required to do so should you request it.
